Officer Descriptions
Below is a listing of the Officer Position job descriptions. Both the full Officer (VP) and the Elect position jpb descriptions are listed. Individuals perform the elect position for one year prior to resuming the full board position for the following year. Elections are held each spring for the elect positions, and the the transition from elect to the full board role occurs each July 1st.

Puget Sound PMI Chapter Officer Position Descriptions
President Elect

The President Elect assists the President as needed in accordance with the purposes of the chapter and its By-Laws. The President Elect will perform the Administration function of the chapter and shall keep the records of all business meetings of the Chapter and meetings of the Board. Being elected to this position carries a two-year commitment to the Chapter. The President Elect will automatically assume the position of President during the second year of the two-year commitment. This is a non-voting position of the Board of directors.

  • Maintain official Chapter records, including: Board meeting minutes, Board Action/Vote Log, Policies and Procedures Manual, Bylaws, Articles of Incorporation as Non-Profit Organization, Charter with PMI, contact list of Board members and Chairs.
  • For monthly Board meeting, solicit agenda items, prepare and send meeting agenda to Board by the day before the Board meeting, take minutes during Board meeting, and send meeting minutes and Board Action/Vote Log out to the Board and Webmaster following each Board meeting.
  • Facilitate the monthly Board meetings utilizing Robert?s Rules of Order.
  • Provide administrative support to President and chair Administrative Team.
  • Ensure sufficient PMI marketing materials are available at each monthly Chapter meetings by communicating with ASI to determine inventory on hand.
  • Coordinate preparation and submission of PMI annual Charter renewal documents to the President for review.
  • Oversee submission of material for PMI chapter awards (e.g. Chapter of the Year), at the direction of the Board.
  • Provide Webmaster with web content as required.
  • Attend monthly meetings and make efforts to interact with the general membership.
  • Respond in a timely manner to inquiries and issues received from Chapter membership.
  • Meet with the new President Elect to review the role responsibilities to ensure a smooth transition.

Qualifications: Prior PMI Chapter Board member (Puget Sound Chapter or other PMI Chapter); Current PMP Certification; Active Chapter and National PMI membership.

President

The CEO of the Chapter.

  • Represents the Chapter and communicates to both the Institute and Chapter membership.
  • Establishes the Chapter two-year goals and objectives, in collaboration with the other Board members.
  • Call and preside over all Board, Chapter and annual business meetings.
  • At the annual business meeting in May present the Annual Report (accomplishments for the past year and objectives for the coming year) and provide a copy to the Webmaster for posting on the Chapter website.
  • Ensure all Board members fulfill their responsibilities.
  • Appoint members to vacant Board positions, subject to the Board's approval.
  • Maintain liaison with Region I Mentor, attend monthly Region 1 teleconferences, and represent Chapter at Region I meetings.
  • Submit the PMI annual re-charter documents (prepared by the VP Administration in order to maintain the Chapter's PMI Charter) to PMI.
  • Ensure that the PMI Copyright and registration of PMI Trademarks (PMI, PMP, and motto) are properly utilized.
  • Ensure that Chapter programs and activities are properly identified as activities sponsored by the Chapter and not official activities of PMI.
  • Maintain liaison with Region I Chapters and neighboring PMI Chapters.
  • Support the efforts of the Project of the Year Chairperson.
  • Plan and facilitate yearly planning session in August.
  • Forward email messages from PMI to appropriate Board members.
  • Ensure membership feedback from monthly meetings is tabulated and reported.
  • Ensure special interest groups are provided with a Board liaison.
  • Coordinate with other Board members to review and update this Manual and other Portfolio documents on a yearly basis.
  • Maintain the current Policy Manual on the Chapter website to keep it current with Board policy making.
  • Plan and facilitate the yearly Board Planning session.
  • Provide VP Finance with desired operating budget (for Administration and Region 1 meetings) for the year.
  • Provide Webmaster with web content as required.
  • Respond in a timely manner to inquiries and issues received from Chapter membership.
  • Meet with the new President to review the role responsibilities to ensure a smooth transition.
  • Attend monthly meetings and make efforts to interact with the general membership.

VP Certification Elect

Vice President, Certification Elect shall assist the VP Certification as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s PMP® Certification Preparation program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Certification Elect will automatically assume the position of Vice President, Certification during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Current PMP Certification; Active Chapter and National PMI membership; Elected by membership vote.

VP Certification
  • Maintain and implement Project Management Professional (PMP) certification training courses. Ensure course material reflects the current version of the PMBOK.
  • Arrange with VP Communications to publicize each course offering.
  • Respond to Chapter membership questions about certification.
  • Provide VP Finance with desired operating budget (for Certification) for the year.
  • Provide Webmaster with web content as required.
  • Respond in a timely manner to inquiries and issues received from Chapter membership.
  • Meet with the new VP Certification to review the role responsibilities to ensure a smooth transition.
  • Attend monthly meetings and make efforts to interact with the general membership.
  • Attend Region 1 and PMI® Leadership Meetings when possible.
  • Follow Chapter bylaws, policies and procedures; strive to fulfill the Chapter?s mission, values, and strategic plans.

VP Communications Elect

Vice President, Communications Elect shall assist the VP Communications as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s membership communication program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Communications Elect will automatically assume the position of Vice President, Communications during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Active Chapter and National PMI membership; Project Management experience in an information technology arena; Elected by membership vote.

VP Communications

Chair Chapter Website development and maintenance teams.

  • Resume Posting Administrator
  • Maintain print-quality graphics associated with Chapter logo.
  • Provide notification to the Chapter membership of regular and special chapter meetings as defined in the Chapter Bylaws, plus any other notification that needs to be distributed to the Chapter membership.
  • Provide VP Finance with desired operating budget (for Communications) for the year.
  • Solicit input from Board members and create PowerPoint announcements file for each monthly Chapter meeting. Send PowerPoint announcement file to VP Programs and Webmaster prior to the monthly Chapter meeting.
  • Track software tools (e.g., WS_FTP, HomeSite HTML Editor, Acrobat) owned by the Chapter and on loan to volunteers.
  • Track books and manuals (MS Manual of Style for Technical Publications) owned by the Chapter and on loan to volunteers.
  • Request web content review by Board members when required.
  • Attend monthly meetings and make efforts to interact with the general membership.

VP Corporate Services Elect

Vice President, Corporate Services Elect shall assist the VP Corporate Services as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s corporate services program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Corporate Services Elect will automatically assume the position of Vice President, Corporate Services during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Active Chapter and National PMI membership; Elected by membership vote.

VP Corporate Services
  • Promote professional Project Management standards and practices in the greater Seattle Business Community.
  • Serve as a resource for information about PMI and about the practices and standards of our profession.
  • Foster joint ventures with members of the Seattle Business Community where appropriate and feasible.
  • Offer PMI services to the Seattle Business Community.
  • Serve as Board liaison with Student chapters.
  • Provide Webmaster with web content as required.
  • Attend monthly meetings and make efforts to interact with the general membership.
  • Respond in a timely manner to inquiries and issues received from Chapter membership.
  • Meet with the new VP Corporate Services to review the role responsibilities to ensure a smooth transition.

VP Marketing Elect

Vice President, Marketing Elect shall assist the VP Marketing as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s marketing program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Marketing Elect will automatically assume the position of Vice President, Marketing during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Active Chapter and National PMI membership; Elected by membership vote.

VP Marketing
  • Communicate and enforce Chapter website advertising policy.
  • Solicit sponsorships for monthly meetings (Sponsorships are not being pursued as of March 2006).
  • Collaborate with VP Programs and VP Profession Development to ensure that sponsors and speakers are not competitors (Sponsorships are not being pursued as of March 2006).
  • Communicate with VP Finance for invoicing of sold sponsorships. Assist VP Finance with follow up for payment of outstanding sponsorship invoices.
  • Provide Webmaster with web content as required. (Sponsorships are not being pursued as of March 2006)
  • Determine which publications the Chapter can advertise in at no cost.
  • Determine which ?cost? publications the Chapter should advertise in.
  • Determine other advertising venues (in addition to publications).
  • Create and submit articles/notices to all selected publications and other advertising venues timely information on monthly meetings, professional development events, and other information about the Chapter (as deemed appropriate).
  • Write and submit articles to PMI Today on special events that occurred with the Chapter and to advertise future events.
  • Provide VP Finance with desired operating budget (for Marketing) for the year.

VP Membership Elect

Vice President, Membership Elect shall assist the VP Membership as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s membership services and benefits program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Membership Elect will automatically assume the position of Vice President, Membership during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Active Chapter and National PMI membership; Elected by membership vote.

VP Membership
  • Maintains membership database (from PMI) and provides membership information to Board and ASI, as needed.
  • Acts as focal point for individual members; respond to inquiries regarding chapter membership services and benefits.
  • Serves as liaison between the chapter membership and the Board of Directors.
  • Maintain list of volunteers and act as focal point for Board members needing volunteers.
  • Plans and conducts the annual End-of-Year Volunteer Recognition event.
  • Plans and conducts surveys of the general membership, when requested by the Board.
  • Initiates correspondence with new chapter members, e.g. New Member letter.
  • Attend monthly meetings and make efforts to interact with the general membership.
  • Receive notifications of open positions directly from employers or from completed form on the Web site. Review open position announcements and forward to open position mailing list if appropriate.
  • Provide VP Finance with desired operating budget (for Membership) for the year.

  • Respond in a timely manner to inquiries and issues received from Chapter membership.

Vice President, Professional Development Elect shall assist the VP Professional Development as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s professional development program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Professional Development Elect will automatically assume the position of Vice President, Professional Development during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Current PMP Certification; Active Chapter and National PMI membership; Elected by membership vote.

VP Professional Development
  • Organize and manage a professional development program, including education opportunities such as seminars and workshops beyond those available at the monthly meetings.
  • Collaborate with VP Programs on opportunities to have monthly Chapter meeting speaker conduct a separate seminar/workshop.
  • Arrange with VP Communications to publicize all seminars and workshops on the Chapter website.
  • Provide flyers at monthly meetings to publicize upcoming seminars and workshops.
  • Arrange for all facilities and resources required for each seminar/workshop.
  • Conduct contract negotiations with facilities and speakers.
  • Attend each seminar or workshop or ensures that someone from Professional Development Committee attends each.
  • Provide PDU information for seminars and workshops to PMI for posting on PMI.org website.
  • Provide and collect feedback forms for each seminar/workshop. Provide a summary of the feedback to the speaker and to the Chapter Board.

Vice President, Programs ? Puget Sound Elect shall assist the VP Programs ? Puget Sound as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s monthly dinner meeting program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Programs ? Puget Sound Elect will automatically assume the position of Vice President, Programs ? Puget Sound during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Active Chapter and National PMI membership; Elected by membership vote.

VP Programs - Puget Sound
  • Select and schedule speakers for pre- and post-dinner presentations at monthly Chapter dinner meetings; work with speakers to align their presentation in order to fit the Chapter membership?s needs.
  • Provide logistics information to speakers.
  • Provide Webmaster with speaker and topic information for posting on the Chapter website.
  • Provide Webmaster with other web content as required.
  • Provide PDU information for monthly pre- and post-dinner programs to PMI for posting on PMI.org website.
  • Collaborate with VP Marketing to ensure that sponsors and speakers are not competitors.
  • When required, negotiate with VP Marketing and speaker so that speaker receives a reduced sponsorship price in lieu of an honorarium.
  • Ensure setup of rooms, including all required equipment (laptop computers to be provided by speakers).
  • Ensure program/facility feedback forms are available to members at all monthly presentations and that feedback forms are collected, tabulated and posted on the Board Sharepoint site.

Vice President, Programs - East Side Elect shall assist the VP Programs - East Side as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter's monthly dinner meeting program. Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Programs - East Side Elect will automatically assume the position of Vice President, Programs - East Side during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.

Qualifications: Active Chapter and National PMI membership; Elected by membership vote.

VP Programs - East Side

  • Select and schedule speakers for presentations at monthly Chapter meetings specifically targeted for the East Side of the greater Puget Sound region; work with speakers to align their presentation in order to fit the Chapter membership?s needs.
  • Provide logistics information to speakers.
  • Provide Webmaster with speaker and topic information for posting on the Chapter website.

VP Finance
 
Responsible for the management and accounting of Chapter expenses and revenue.
  • Maintain official Chapter financial records, including:  paid invoices, tax returns, bank statements, and equipment depreciation records.
  • Administer financial support to other board members as needed.
  • Provide each Board position with budget template and financial information from prior year for the purpose of developing a new operating budget.
  • Prepare, with input from appropriate Board positions, an annual operating budget for Board approval.
  • Prepare financial information for inclusion in the application for Chapter Charter renewal.
  • Manage all Chapter funds. Reconcile dues payments, Chapter dinner payments, Workshop/Seminar payments, Certification class payments, Sponsorship payments, and other sources of income. Pay all bills in accordance with the approved annual budget and/or special project budgets. Obtain Board's approval for payment of bills not within scope of the approved budgets.
  • Reconcile monthly bank account statements.  Apportion monthly credit card  and online registration charges to the appropriate portfolio.
  • Prepare the monthly financial status report for Board meetings.  Prepare additional ad-hoc financial reporting to the Board when needed.
  • Prepare and present the Annual Financial report for Board approval at the monthly Board meeting prior to the annual business meeting in May.
  • Present Annual Financial report at the annual business meeting in May.
  • Arrange for co-signatures of the Officers approved by the Board for all Chapter's bank accounts and/or similar financial transactions.
  • Advise PMI of current Chapter dues (in U.S. funds) by September 1 each year for their centralized billing procedures.
  • Arrange for an audit of financial records prior to turning over Chapter records to the incoming Financial Officer. 
  • Prepare and file yearly tax statement by May 15 and submit to PMI at the time of filing.
  • Prepare and submit yearly contribution to Region 1 by mid-April of each year.  
  • File annual non-profit corporation annual report with the State of Washington by March 31st of each year.
  • Invoice sponsors of monthly meeting presentations and sponsors of professional development events and follow up as necessary to collect revenue.

Vice President, Finance Elect shall assist the VP Finance as needed in accordance with the purposes of the Chapter By-Laws and provide continuity for the Chapter?s financial management.  Being elected to this position carries a two-year commitment to the Chapter. The Vice President, Finance Elect will automatically assume the position of Vice President, Finance during the second year of the two-year commitment. This is a non-voting position of the Board of Directors.
